The Coldwell Banker Northbrook office is seeking a full time Administrative Assistant (weekends required). This position is at a minimum of 30 hours per week however 40 hours are available if you are available towork weekends. TheAdministrative Assistant is responsible for general administrative duties in the real estate sales office. In addition to supporting the Branch Manager, Office Administrator, and assisting the agents, the Administrative Assistant takes an assisting role in coordination of all the activities involved in advertising, listing, sales and closings of properties. The Administrative Assistant handles expenses, disbursements, and reporting to assist in enabling operational effectiveness at the real estate sales office.

Essential Job Duties:

Sales Files: Responsible for supporting the Office Administrator with preparing sales files. This includes but is not limited to:

nn


+ Review forms for signatures, price, accuracy and completion.

n

+ Prepare and send earnest money checks to the corporate accounting department.

n

+ Create and manage transaction in Homebase

n

+ Continuously update MLS throughout the real estate transaction.

n

+ Notify Managing Broker to ensure that all required documents are in office file and are approved prior to closing.

Processing Listings: Responsible for processing all new home listings. This includes but is not limited to:

nn


+ Create and manage transaction in Homebase

n

+ Enter Listing into local MLS (include and applicable disclosures)

n

+ Send out communication to new listing clients

n

+ Review entry of new listings into online marketing tools and work with agent to create any applicable marketing materials.

n

+ Work with agents on uploading photos to market the listing.

n

Changes, Amendments, Cancellations, Misc Paperwork: Responsible for making adjustments as needed to sales & listings. This includes but is not limited to:

+ Scanning documents

n

+ Update Home Base, MLS, and/or Trident

n

+ Send front desk email of status changes on our listings (pending to active, etc.)

n

New Agent Orientation: Responsible for supporting the Office Administrator with the successful on-boarding of all new agents. This includes but is not limited to:

nn


+ Set up phone, printers, order signs, name tags, business cards, keys/fobs, etc

n

+ Update all spreadsheets (rosters, etc) with new agent information

n

Processing HUDS and Commission checks: Responsible for supporting the Office Administrator with the processing all HUDS and commission checks. This includes but is not limited to:

+ Reviewing for accurate payments/follow up if not correct

n

+ Input commission information into Trident

n

+ Upload documents into Homebase and update status

n

+ Update MLS

n

+ Scan/send check and appropriate completed SIS to Commissions team.

n

+ Work with Commissions team on any updates/changes that are needed.

n

Record Keeping: Responsible for maintaining accurate and compliant records for all agents in the office. This includes but is not limited to:

+ Work with Licensing Coordinator to ensure all licenses are active and current and all applicable fees are paid in a timely manner.

+ Continuing Education-work with Professional Development to ensure agents have access and information to all current classes being offered.

Front Desk: Responsible for answering the main phone line and greeting clients and agents that visit the office.
