SUMMARY

Freeman is seeking a Part-Time Exhibitor Services Representative who will be responsible for providing excellent customer service to all clients, both internal & external, soliciting new & repeat business via phone & electronic marketing, processing orders, completing billing, and administering customer satisfaction surveys. Additional duties include:

  • Must familiarize self with show personnel, pertinent show information, rules & regulations.

  • Works independently to manage exhibitor services orders on assigned show(s) from start to finish, while also being a team player to help ensure the success of all shows.

  • Markets audio visual services via e-mail to prospective clients on all assigned shows and via telephone to repeat customers.

  • Communicates professionally with customers via phone, fax, and email, or in person at show site.

  • Receives & processes orders for installation, discontinuance, and change of service.

  • Properly handles and processes cash, checks, wire transfers and credit cards payments. Ensures that all orders have been paid in full prior to rendering services.

  • Generates correspondence for each assigned show such as: Letters of Introduction, Confirmation of Orders, Delivery Notices and any post show correspondence.

  • Manages information flow for complaints concerning billing and services rendered, referring complaints to designated departments for investigation.

  • Distributes weekly updates of pre-show orders via the Set & Sign Report to the producing branch, and attends all pre-planning meetings.

  • Creates show files and provides the Show Services Coordinator all pertinent information needed to execute the installation of orders.

  • Packs supplies: computer, printer, show files, etc. and ensures all is delivered to show site.

  • Creates and manages the Automated Dispatch Log and Concierge Elite file for each show assigned, to effectively communicate and/or resolve customer requests on show site.

  • Checks-in daily with each exhibitor who has placed an order to ensure satisfaction with services.

  • Participates in morning safety talks with Union labor and Show Services Coordinator while on site.

  • Performs all show site functions required of the Exhibitor Services Service Desk.

  • Assists Sales personnel and show management / organizer as required.

  • Administers Customer Satisfaction Surveys to every customer on show site.

  • Completes all show closing tasks: Invoicing, Recap, Marketing Report and final Set & Sign Report.

  • Performs other duties as assigned.

REQUIREMENTS

  • Minimum 3 + years of work experience, preferably in the customer service field.

  • Demonstrated skills in Microsoft Office (Excel, Word, Outlook)

  • Proven customer service & communication skills, both written and spoken.

  • Must have ability to read, analyze and interpret technical information, floor plans and exhibit schematics

  • Must have ability to calculate figures and amounts such as discounts, total amounts, commissions, percentages & taxes

  • Requires ability to work with accounting concepts such as credits, accruals, etc.

EDUCATION

  • High School Diploma or GED

Preferred

  • Associates Degree
