Kforce Executive Assistant in Chicago, Illinois

Kforce has a client in Chicago, IL that is seeking an experienced, polished Executive Assistant to support C-Level executives and their team in a financial services office.Duties Include:

  • Manage a complex, constantly changing calendar across multiple time zones to maximize time for executives

  • Monitor Chief Executives email and handle high priority matters while maintaining professional confidentiality

  • Manage clerical, administrative, personal and professional details, including but not limited to operating the phones, scheduling and managing meetings, coordinating travel plans and itineraries, and planning entertainment activities

  • Coordinate and manage all aspects of preparation, materials, and schedules to ensure successful calls, meetings, and trips

  • Prepare and develop internal and external meeting presentation material, including PowerPoint presentations, Word Documents, Excel spreadsheets, and dashboards as directed; as well as arranging meeting preparation, agendas, facility arrangement, and recording

  • Manage travel arrangements; prepare itinerary; update other members of executive office

  • Coordinate hotels, travel meetings, and meals, complete expense reports

  • Bachelor's degree with five to ten years of directly supporting a senior executive

  • Experience within financial services environment required

  • Superior computer skills including Microsoft Office, Outlook, Word, Excel, Power Point, and Visio

  • Ideal candidate will demonstrate the ability and confidence to handle high-pressure, complex scenarios with the goal of increasing executives time for leadership responsibilities

  • Successful candidates will have experience supporting senior level executives, be collaborative, and willing to take direction from the Lead Executive Assistant

  • Strong interpersonal, organizational, communication, and problem solving skills

  • Able to work under pressure and remain professional, delivering on deadlines

  • Ability to maturely communicate and collaborate with diverse personalities in all levels of management, as well as outside vendors and clients

  • Ability to maintain discretion in handling confidential data dealing with high-level executives

  • Experience coordinating travel and expenses, managing calendars across the country
