Unit Job Summary

Reporting to the Vice President and Secretary; Chief of Staff in the Office of the President, the Assistant Vice President (AVP) works collaboratively staff in the Office of the President, with faculty and staff at all levels across the University, and with external partners to ensure the success of a broad range of projects and activities that are of high priority and strategic importance to the University. She or he works with the Vice President to ensure that the necessary staffing, resources and internal project management are in place to achieve the objectives of the office. The AVP plays a critical role in tracking the progress of strategic initiatives and activities of highest priority to the President and Vice President, and communicating updates to University leaders as needed.

Responsibilities of the position

  • Provide leadership or staff support for committees convened by the Vice President

  • Represent the Vice President and Secretary; Chief of Staff in meetings and on specific university-wide working groups and committees

  • Develop and maintain productive relationships and regular communication with a range of colleagues across campus and in the community, including Associate/Assistant Vice Presidents and Directors in administrative units, and Deputy/Associate Deans and Directors in academic units, institutes, and centers

  • Provide support for high priority tasks and initiatives, including special events, utilizing necessary systems for effective planning and project management

  • Work with staff in the Provost's Office, academic units, the Secretary's Office, Institutional Analysis, Civic Engagement, Enrollment and Advancement, Global Engagement, Alumni Relations and Development, Campus and Student Life and other departments as relevant to conduct analysis and prepare background materials and reports on various topics of current relevance and/or importance

  • Act as a liaison with leaders in the offices of the vice presidents, deans, and the Provost's Office to exchange information about high-priority projects and tasks

  • Maintain and update tracking system shared among staff in the Offices of the Executive Vice President, Secretary, and Provost for high priority projects and activities across the university

  • Communicate critical project updates and changes that require escalation to the Vice President

  • Develop and execute communication plans for high-level announcements, in cooperation with colleagues in the President's Office, in Communications, and other departments/organizations as relevant

  • Other duties as assigned

Education
  • Bachelor's degree required; Master's degree strongly preferred
Experience
  • Eight to ten years of professional experience working at an educational institution required

  • Demonstrated success in project management and strategic planning

  • Excellent organizational and time management skills with the ability to set own priorities and to coordinate multiple assignments with fluctuating and time-sensitive deadlines

  • Outstanding communication skills; ability to effectively communicate information in a clear and understandable manner, both verbally and in writing

  • Discretion and good judgment

  • High standards of conduct and confidentiality in dealing with various internal and external constituencies

Competencies
  • Ability to use tact and diplomacy to effectively handle a broad range of high level and sensitive situations and people

  • A collaborative approach to work and the interpersonal skills to interact effectively with staff from many different offices

  • Excellent computer skills and proficiency with a variety of computer applications including word-processing, spreadsheets, databases, on-line systems

  • Demonstrated competence in adopting new technology and software products

  • Working knowledge of or ability to quickly learn University culture, organizational structure, policies and procedures

  • Knowledge of higher education and associated policy issues

  • Ability to adapt and grow in the position as the needs of the office evolve

  • Enthusiasm and a positive attitude

  • Experience working with faculty on committees and faculty-led projects

  • Demonstrated success in institutional community engagement with internal and external constituencies
